Drug Inventory

Adding Medicines

  1. Go to Pharmacy → Medicine List
  2. Click Add Medicine
  3. Enter drug details:
    • Generic name and brand name
    • Dosage form (tablet, syrup, injection, etc.)
    • Strength/concentration
    • Unit of measure
    • Category
  4. Set pricing for different units (per tablet, per card, per box)
  5. Set reorder level for low stock alerts
  6. Save medicine

Batch Management

Track inventory by batch for expiry management:

  • Each purchase creates a new batch
  • Batch number and expiry date tracked
  • FEFO (First Expiry, First Out) dispensing
  • Expiry alerts for items nearing expiration

Dispensing Process

  1. View pending prescriptions in Pharmacy Dashboard
  2. Verify payment status (if prepay mode)
  3. Review prescription items
  4. Select batch for each item (FEFO suggested)
  5. Confirm quantities
  6. Mark items as dispensed
  7. Print label/receipt if needed

Point of Sale (POS)

Retail counter sales for walk-in customers.

Creating a Sale

  1. Click New Sale in Pharmacy POS
  2. Search and add items to cart
  3. Adjust quantities as needed
  4. System calculates total
  5. Select payment method (cash, card, mobile money)
  6. Enter amount received
  7. Complete sale and print receipt

Ward Dispensary

Manage medication stock at ward level for IPD patients.

Stock Transfer Process

  1. Dispensary manager creates stock request
  2. Pharmacist reviews and approves
  3. Items marked as in-transit
  4. Dispensary receives and verifies
  5. Stock updated in dispensary

Issuing to Patients

Nurses can issue medications from ward dispensary to IPD patients:

  • Select patient and admission
  • Choose medication from ward stock
  • Enter quantity issued
  • System deducts from ward stock
  • Charge added to patient bill

Purchases & Suppliers

Creating a Purchase Order

  1. Go to Pharmacy → Purchases
  2. Click New Purchase
  3. Select supplier
  4. Add items with quantities and prices
  5. Enter batch numbers and expiry dates
  6. Save purchase
  7. Stock automatically added to inventory

Supplier Management

  • Add supplier with contact details
  • Set payment terms
  • Track purchase history per supplier
  • Manage outstanding payments

Expiry Management

Critical: Expiring within 7 days
Warning: Expiring within 30 days
Expired: Past expiry date
